FreeScout

ReplaceableOur view: a custom-built tool is realistic.freecasevibecode verdict · 0 votesPage updated on October 23, 2026 · Published by North Studio

Free helpdesk and shared inbox (PHP, Laravel, MySQL), billed as an alternative to Zendesk and Help Scout: conversations received by email, WhatsApp, Telegram, Facebook, Slack or live chat, unlimited agents, tickets and mailboxes according to the site, email through SMTP, IMAP and POP3 with OAuth for Microsoft 365 and Google Workspace, internal notes, conversation forwarding and merging, collision detection, auto-replies, mobile apps and progressive web app. Modules (knowledge base, portal, time tracking, workflows and SLAs, CRM, SAML, reports) sold individually, prices not shown on the page. Free to self-host; managed hosting, professional installation and a cloud version offered. Application translated into 33 languages, including French.

The shared email inbox is the textbook case: each message becomes an assignable ticket, with notes the customer cannot see, canned replies and collision detection. FreeScout already does it with no per-agent cost, which makes it the natural starting point for a small team. Rebuilding your own version mostly makes sense if you have very particular needs. What costs: reliable email reception (deliverability, attachments, spam), the useful paid modules (knowledge base, SLAs) and security updates.

What you lose

  • The paid modules (knowledge base, workflows and SLAs, SAML).
  • The connections to messaging apps (WhatsApp, Telegram, Facebook).
  • The mobile apps.
  • Managed hosting and professional installation.

Existing alternatives to FreeScout

  • ChatwootOpen source

Support inbox with chat, email and messaging apps, self-hostable; the code is open apart from an «enterprise» folder under a commercial licence.

  • ZammadOpen source

Open-source ticketing system (AGPL-3.0) with email, chat, SLAs and knowledge base; a rather heavy self-hosting stack.

What a home-built tool costs once it exists

  • Hosting and database: a server cost, and automatic backups you actually test.
  • Security and GDPR: dependency updates, an HTTPS certificate, protection of your customers’ data.
  • Upkeep time: who fixes the tool on a Saturday night in the middle of service if the server goes down?

The prompt to build it yourself

Open in ClaudeOpen in CodexOpen in Cursor
Build a shared email inbox for my team, replacing an over-broad open-source helpdesk.

Context: 3 people, one contact@ address, about 25 messages a day.

To do:
- IMAP polling and SMTP sending from the same address, with OAuth for Google Workspace if needed.
- One ticket per conversation with status, assignee, internal notes and tags.
- A collision alert when two people write at the same time.
- Saved replies with variables and a signature per person.
- Simple statistics: messages received, first-response time, open tickets.

Out of scope: social messaging, knowledge base, SLAs.

Stack: web app, PostgreSQL, a scheduled job for polling. README: how to run, backup, how long to keep messages (GDPR).
