OpenProject
Open-source project management (GPL-3.0): work packages, Gantt charts, agile boards, wiki, forums, custom fields. Free Community edition with community support; cloud or paid installation in euros excl. VAT per user per month: Basic at €5.95 (minimum 25 users), Professional at €10.95 (minimum 25), Premium at €15.95 (minimum 100), Corporate on request; month-to-month possible for Cloud Basic at €1 more per user, 2 to 5-year commitments with discounts, BIM module €1 more. Enterprise modules add email or phone support, installation help and integrations, without a feature-by-feature detail on the page.
A task list with due dates, owners and statuses, in a table and calendar view, is a realistic project for a small team. OpenProject goes further: a Gantt chart with dependencies, budgets, time tracking, agile boards. Reproducing all of it custom is a big project; reproducing what you use, often half the list, is possible. Mind the prices: the paid plans impose a minimum of 25 users, which rules out small teams.
What you lose
- The Gantt chart with dependencies and critical path.
- The agile boards (Scrum and Kanban).
- The Enterprise modules and the vendor's support.
- The built-in wiki and forums.

What a home-built tool costs once it exists
- Hosting and database: a server cost, and automatic backups you actually test.
- Security and GDPR: dependency updates, an HTTPS certificate, protection of your customers’ data.
- Upkeep time: who fixes the tool on a Saturday night in the middle of service if the server goes down?
The prompt to build it yourself
Build a small project tracker for my team, replacing a project management tool. Context: a small agency of 6 people, 8 projects in progress, 15 to 40 tasks per project. To do: - Projects with an owner, start and end dates and an hours budget. - Tasks with owner, due date, status (to do, in progress, in review, done), priority and tags. - A Kanban board view per project and a list view filterable by person and due date. - A simple Gantt chart showing tasks on the calendar, without dependencies. - Time tracking per task and a total per project compared with the budget. - Comments and attachments on each task. Out of scope: dependencies and critical path, wiki, forums, financial budgets. Stack: web app, PostgreSQL. README: how to run, backup.
