For the occasional private hire a home-made solution is enough; for a regular volume of events, the tool is justified.

The prompt to build it yourself
Build me a group and event management tool, for my venue, to replace a subscription. Stack: web app (Next.js or Node/Express) with SQLite, hosted on my small server, usable on phone and computer. No mandatory paid service, no telemetry. Core of the tool: - Centralising requests (form, email entered by hand) with status. - Quote, invoice, deposit with a Stripe payment link in test mode to start with. - Event schedule and function sheet as PDF. Requirements: - Online request form (date, number of people, type of event, budget, contact) that creates a record in a tracking board: new, quote sent, accepted, deposit received, done. - Quote then invoice as PDF: continuous numbering with no gaps, mandatory mentions, VAT per line, deposit. To be validated by my accountant. - Function sheet as PDF to brief the teams (times, menu, floor plan, contacts). - Event calendar with room-conflict detection. Out of scope: syncing with a PMS and compliance with electronic invoicing. README: installation, backup, and a reminder that the tool produces documents but does not replace the approved platform that electronic invoicing reform will eventually require, which remains out of scope.
