ReplaceableOur view: a custom-built tool is realistic.free (paid plans from €5.34/month)casevibecode verdict · 0 votesPage updated on October 23, 2026 · Published by North Studio

Mail merge in Gmail and Google Sheets: personalised emails sent from your own Gmail account, scheduling and open tracking. Free plan (500 emails a month, 50 a day); Starter at $5.99 per user per month (5,000 a month, 250 a day), Premium at $17.99 (30,000 a month), Professional at $35.99. Prices shown in dollars by default.

Sending a personalised email to each row of a spreadsheet is a script of a few dozen lines with Google Apps Script, inside your own account. Open tracking and scheduling are easy to add. Respect Gmail's daily sending limits and only contact people who have agreed or who have a legitimate interest: the risk is not technical, it is regulatory. For large volumes, a dedicated sending tool is more suitable.

What you lose

  • The writing interface inside Gmail.
  • Open and click tracking with no setup.
  • Scheduling of sends and follow-ups.
  • Management of unsubscribes.

What a home-built tool costs once it exists

  • Hosting and database: a server cost, and automatic backups you actually test.
  • Security and GDPR: dependency updates, an HTTPS certificate, protection of your customers’ data.
  • Upkeep time: who fixes the tool on a Saturday night in the middle of service if the server goes down?

The prompt to build it yourself

Open in ClaudeOpen in CodexOpen in Cursor
Build a mail-merge script from a Google Sheets sheet, replacing a Gmail mail-merge tool.

Context: I write to about 150 business contacts a month from my Gmail account.

To do:
- A Google Apps Script bound to the sheet: columns email, first name, company, status.
- An email template with {{first_name}} and {{company}} variables, stored in the sheet.
- A «Send» menu that only writes to rows with status «to send», with a maximum of 50 emails a day and a random delay between sends.
- Switching the status to «sent» with the date, and honouring an «unsubscribed» column that blocks any send.
- An unsubscribe link in every email.

Out of scope: open tracking, automatic follow-ups.

README: installing the script, Gmail's sending limits, and a reminder to write only to people with a legal basis (consent or legitimate interest).
